Employee Guide
This guide explains how employees use CrewCapture to upload photos and videos, view their uploads, vote, earn points, and appear on leaderboards.
What CrewCapture Is For
CrewCapture helps your company collect real photos and videos from the job site. Your company uses this content for marketing, recruiting, proposals, websites, and employee recognition. You are the one out there doing the work, and CrewCapture makes it easy to share what you are seeing.
Getting Started
You will receive an invite email from your company admin. Click the link in the email to set your password. After that, you can sign in any time at app.getcrewcapture.com.
If you do not see the invite email, check your spam or junk folder. Your admin may also share a join request link if they did not have your email address. Follow that link to request access.
Logging In
Go to app.getcrewcapture.com and sign in with your email and password.
Employee Dashboard
After signing in, your dashboard shows your activity at a glance. You will typically see:
- Uploads this week and this month
- Your current points total
- Recent uploads and their status
- Uploads liked for marketing
- Your position on the leaderboard
Uploading Photos and Videos
- Click Upload Photos and Videos.
- Choose the files from your phone or computer.
- Add a job or project name if you know it (this helps organize the files).
- Read and confirm the required consent.
- Click Upload.
- Keep the page open until all files finish uploading.
Uploading From a Phone
On iPhones and Android phones, the file picker may take time to prepare files before the upload starts. This is especially common with large photos, videos, files stored in iCloud, or when selecting multiple files at once. Wait for the picker to finish loading your selection and do not close the browser tab while uploading is in progress.
What to Upload
Good things to photograph and upload:
- Finished work
- Before and after photos
- Job-site progress shots
- Team members working safely
- Equipment in use
- Clean project details
- Interesting problems you solved
- Quality workmanship
- Short videos that show the work in motion
Job or Project Name
When you upload, you can add a job or project name. This is optional but helpful: it makes it easier for admins to organize files and find uploads from specific jobs later. Add it if you know it.
Weekly Upload Limit
Your company may have set a weekly upload limit. If you reach the limit for the week, you will see a message when you try to upload more. The limit resets at the start of the next week.
My Uploads
You can review your own upload history from the dashboard or the My Uploads section. You will see the files you have submitted, their approval status, and whether any were liked for marketing. Click an upload to view a larger image and its details.
Liked for Marketing
If an admin marks your upload as Liked for Marketing, it means your company selected it as useful for marketing purposes: for a website, social media post, proposal, or other use. This may earn you recognition and extra points. It does not always mean the file has already been posted publicly.
Points
You can earn points for:
- Having an upload approved
- Submitting votes during a voting window
- Having your uploads receive votes from coworkers
- Having an upload liked for marketing
- Finishing first, second, or third in a weekly vote
- Manual bonuses from your admin
Leaderboard
The leaderboard ranks employees by points. You can switch between This Week, This Month, and All Time to see how you rank across different time periods.
Weekly Voting
Each week, your company may run a voting round where employees vote for the best uploads from the previous week. When voting is open:
- Go to Vote from the navigation.
- Browse the eligible photos for that week.
- Pick your top 3 photos.
- Submit your picks.
Voting is anonymous. You will not see who uploaded each photo, and you should not see your own photos in the ballot.
After You Vote
Submitting votes earns you points. After the voting window closes, your admin can calculate results. The uploads with the most votes earn placement bonuses, and all uploads that received votes earn points for their uploaders.
Settings
In Settings, you may be able to update your name, email address, and password. If you change your email address, that becomes your new login email.
Best Practices for Employees
- Upload while the work is fresh. Do not wait until the end of the week.
- Take clear photos with good lighting when possible.
- Clean your camera lens before shooting.
- Step back to show the full work area, not just close-ups.
- Take detail shots when workmanship or quality matters.
- Upload short videos when motion or explanation helps show the work.
- Add the job or project name when you know it.
- Do not upload unsafe, private, or inappropriate content.
Simple rule
When in doubt, upload it. Your company admin can decide later whether it is useful.
